Log Files
Your Next Agency follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and a part of hosting services' analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users' movement on the website, and gathering demographic information.
Cookies and Web Beacons
Like any other website, Your Next Agency uses cookies. Which ones we set, what each of them does and how long it is kept are listed in our Cookie Policy — where you can also change or withdraw your consent at any time.
Website chat (AI assistant)
Our website has a chat assistant, that answers questions about Your Next Agency and our services and helps you get in touch with our team, for example by booking a call or sending us a message. YNAgent runs on Spark, our own platform. Its answers are generated by artificial intelligence (AI). They can be incomplete or wrong, and they are not a quote or an offer. Please check anything important with us directly.
Please do not share sensitive personal data in the chat. That includes health information, passwords, or financial or ID details. Questions about our services do not need them.
What we process. We process the messages you type, the assistant's replies, the language of the page you chat on, and technical details about each answer, such as timestamps and which AI model replied. We do not ask for your name or email address in the chat. To limit abuse, we briefly use your IP address to rate-limit requests. It is not saved with your conversation.
In your browser. To keep your conversation visible while you browse, your browser's local storage keeps the last 40 messages, a conversation reference, a random visitor ID and the time of your last activity. This copy is removed when you click "Start over", or when you come back to the site after more than 30 minutes without activity. You can also delete it at any time by clearing your browser's site data.
AI processing by OpenAI. To generate answers, we send your current message, up to the last six exchanges of the conversation, and our own instructions and public website content to OpenAI, which processes this data on our behalf as a third-party processor. OpenAI does not use API data to train its models by default. It may keep inputs and outputs for up to 30 days to monitor abuse, after which they are deleted unless the law requires otherwise.
Why, and on what legal basis. We use the chat to answer your questions and to direct you to the right person on our team. Our legal basis is our legitimate interest in helping website visitors and handling enquiries efficiently (Article 6(1)(f) GDPR). If you send us a message or book a call and keep "Attach my chat conversation" switched on, we process the conversation together with your request, based on your choice to share it (Article 6(1)(a) GDPR) [or: to take steps at your request before entering into a contract, Article 6(1)(b). Udo to confirm]. You can switch the option off before you submit.
Who can see your conversation. Chat conversations are saved in Spark. A limited number of authorised Your Next Agency staff can review them there to keep the assistant accurate and safe and to fix problems. If you attach the conversation to a message or booking, the team member handling your request receives a link to it. We do not use your chat for marketing, and we do not sell it.
How long we keep it. We keep chat conversations on our servers for 90 days from the start of the conversation, after which they are automatically deleted. A conversation you attached to a message or booking is also deleted after those 90 days. Your message or booking itself is kept as described elsewhere in this policy.
Your rights. You have the rights described under "GDPR Data Protection Rights" below, including the right to access, erase and object to the processing of your chat data. Because we do not ask who you are in the chat, please tell us roughly when you chatted and what about, so we can find your conversation. If you make a request, we have one month to respond to you. If you would like to exercise any of these rights, please contact us at [email protected].
Third Party Privacy Policies
Your Next Agency's Privacy Policy does not apply to any other websites. Thus, we are advising you to consult the respective Privacy Policies of these third-party ad servers for more detailed information. It may include their practices and instructions about how to opt-out of certain options.
You can choose to disable cookies through your individual browser options. To know more detailed information about cookie management with specific web browsers, it can be found at the browsers' respective websites.
Our website chat uses OpenAI to generate answers; you can read how OpenAI handles data in its privacy policy and in its enterprise privacy commitments.
